Smart CRM
The CRM we built for ourselves, now running 10+ companies
A multi-company CRM that runs contacts, deals, cold calling, attendance and payroll in one place, currently used by 10+ companies.
The Problem
Our own sales, cold-calling and delivery teams were running on spreadsheets and WhatsApp threads, with no clear ownership, no permissions and no record of who changed what. Off-the-shelf CRMs charged per seat, kept the data on their servers and had no idea what a cold-calling list or an attendance sheet was, so the business kept bending itself around the tool.
What We Delivered
- 1
One system of record for contacts, companies and deals, linked in any combination, with a custom properties engine that adds new fields from the admin panel without a database migration and an append-only timeline that doubles as the audit log.
- 2
Configurable pipelines with drag-and-drop kanban boards and a full stage history, so every deal shows where it is, how long it sat in each stage and how it got there.
- 3
A dedicated cold-calling workspace with per-caller lead lists, nine call outcomes, attempt counters, follow-up reminders and lead sharing, kept apart from contacts so raw prospects never clutter the customer database.
- 4
Team operations built in rather than bolted on: sign-in attendance and time in app, leave requests, payroll calculated from real attendance, employee contracts, payment milestones and one deadlines calendar that brings them together.
- 5
Real-time team messaging and notifications, an analytics dashboard, saved views, CSV import with duplicate detection and a phone-friendly layout, all in one fast, server-rendered app.
- 6
Multi-company tenancy from a single deployment: each company gets its own domain, branding, sign-in rules and set of modules, isolated at the database layer and protected by passkeys, two-factor sign-in and 15-minute rotating sessions.
